The MeetingManager application can be utilized by any User in a domain that has been enabled for the MeetingManager application. Once a domain is so enabled, any User in the domain will be able to host a meeting by logging-in to the MeetingManager client using PBX Portal login credentials.

There are two parts to configuring Meeting Manager: (1) Configure the PBX Auto-Attendant and Conference Bridge, and ; (2) Enable Meeting Manager for a Specific Domain

A Note About Audio Conference Bridges in the PBX.

The MeetingManager application uses audio conference bridges that are created in the PBX Portal.

The PBX Portal allows you to configure two types of conference bridges: Dedicated Conference Bridge and Owned Conference Bridge. The type can be chosen in the PBX Portal.

MeetingManager works best when each User has an Owned audio Conference Bridge in the PBX. In this case, the User's individually Owned conference bridge information will be used for any meeting that she or he hosts.

If the User does not have an Owned audio conference bridge, then a Dedicated conference bridge may be specified in the form used to Enable Meeting Manager for a Specific Domain (you must create the actual conference bridge in the PBX portal separately).

However, just a like a physical conference room, it will be possible for multiple meeting hosts to attempt to enter the Dedicated audio conference bridge at the same time.

Route a DID to the Conference Center Auto-Attendant 

The Conference Center Auto Attendant is a pre-created system feature. The greeting says: Thank you for calling the Conference center. To join a conference, please enter the conference room number now.
  • Create a Routing User that forwards all calls to 02020202. The 02020202 extension is a special system number that will connect callers to an Auto-Attendant that will prompt for the Conference Room number.
  • Route a DID to the Routing User that you created in the previous step.

Having a DID routed to the Conference Center Auto-Attendant is needed whether you use an Owned or Dedicated Conference Bridge. This will allow you to use a single DID to service any number of conferences.

Configuring an Owned Conference Bridge 

In the PBX Portal go to Domain > Conferences

  • Click the Add Conference button. This will load a modal box to add a conference bridge.
  • Enter a name for the conference bridge.
  • Under the Type heading, Owned conference bridge. This will show the Owned and Direct Dial fields.
  • Enter the extension of the desired owner. Note: The owner cannot be changed.
  • If desired, enter a number into the Direct Dial field. This will allow someone to dial the conference bridge like they would with an extension.
  • Continue filling out the rest of conference details.
  • DO NOT configure a DID for the Conference Bridge here. You will use a DID that is routed to the Conference Center Auto Attendant as specified above.
  • Click the Save button.

Configuring a Dedicated Conference Bridge

If you prefer to use a Dedicated Conference Bridge instead of an Owned Conference Bridge, follow these steps:

A) In the PBX Portal go to Domain > Conferences

  • Click the Add Conference button. This will load a modal box to add a conference bridge.
  • Enter a name for the conference bridge.
  • Under the Type heading, Dedicated conference bridge should already be selected. If not, select the Dedicated conference bridge option.
  • After selecting the Dedicated conference bridge type, the Extension field should be available to edit.
  • Enter an extension. If the extension already exists, this will override the extension’s “Always” forward rule and forward to the conference bridge instead. Note: extension cannot be changed.
  • Continue filling out the rest of conference details.
  • DO NOT configure a DID for the Conference Bridge here. You will use a DID that is routed to the Conference Center Auto Attendant as specified above.
  • Click the Save button.
In order for the integration between Meeting Manager and the PBX Conference Bridges to work correctly, the following settings should be followed in the PBX Bridge: (a) Minimum Participant to Start should be set to 1 (b) Require Leader to start should be set to No.                           

The PBX Conference Bridge should be set as shown in the image below.

Note: If you use a Dedicated Conference Bridge, then you must also select it as the Default Conference Bridge when enabling Meeting Manager for an individual domain (see next step below)

Enabling Meet Manager for Individual Domains

You must enable MeetingManager access for each domain separately. Once you have enabled MeetingManager access for a domain, then any User in the domain will be able to host a meeting by logging in to the MeetingManager client using PBX Portal login credentials.

1. Login to your Reseller Dashboard. The URL is XXXXX.Dashmanager.com (XXXXX = Reseller ID)

2. Click on the "Manage Meetings" menu item.

3. Click "Add New" to reach the configuration form

4. Complete the form using the parameters and values stated below (* denotes a required entry)

Number of Meeting Rooms *Enter the number of rooms that you would like to make available to this domain. Note that SkySwitch will bill you for each room.
Number of Participants *Enter the maximum number of participants for the domain. This applies across all rooms in the domain.  Maximum is 50 for audio.  
(30 max for video participants. See below)
Reseller ID *This is pre-populated for you.
After Meeting URLThis is the URL for the website where you would like attendees redirected after a meeting ends. (eg. www.skyswitch.com)
URL for InvitationsEnter the domain to be used for meeting invitations that are sent from the client.  The format should be meet.domain.com.
DID for Conference CenterIf this domain will use an AA in front of the conference bridges, enter the DID associated with the AA.
Company UIDThis is pre-populated for you.
SkySwitch Domain For Users*Choose the PBX domain from the drop-down selector.
Domain for Meeting LoginIf the Login Name for PBX Users is different from the domain name, enter the host part here.  Example:  If the domain is theacmecompany.15611.service but the Login Name follows the format '1000@acme', then enter acme here. 
Owned Conference OverrideEnter "Y" (this allows you to use the Owned Conference Bridges)

Minimum Participants to StartThis setting controls how many users must be present for the PBX audio conference to start.  It should be set to '1' to enable PBX conferences to be established when a web meeting starts.
Select Default Conference BridgeSelect the PBX Conference Bridge that will be used when a meeting host does not have an Owned conference bridge.
Conference Bridge Leader PIN.This is pre-populated for you.  It will display the Leader PIN of the default conference bridge chosen above.
Conference Bridge Participant PIN.This is pre-populated for you.  It will display the Participant PIN of the default conference bridge chosen above.
